The Centre de Bénévolat (hereinafter "the Centre") is committed to protecting the personal information of its members, volunteers, and users of this platform, in accordance with the Act Respecting the Protection of Personal Information in the Private Sector (Law 25) of Quebec and its implementing regulations.

1. Person Responsible for Personal Information Protection

The Centre designates a person responsible for personal information protection (PRPIP). Any request regarding your personal data may be addressed to this person by email at the address provided in section 10 of this policy.

2. Personal Information Collected

In the course of using this platform, the Centre may collect the following information:

  • Identity information: first name, last name, email address, phone number.
  • Address information: civic number, street, city, province, postal code.
  • Volunteer information: availability, services offered, languages spoken, driver's license, personal vehicle.
  • Health and safety information: date of birth, emergency contact.
  • Browsing information: IP address, session data (for security and operational purposes).

3. Purposes of Collection

The information collected is used exclusively for the following purposes:

  • Managing member and volunteer accounts on the platform.
  • Coordinating volunteer activities and matching with beneficiaries.
  • Internal communications related to the Centre's activities.
  • Meeting the Centre's legal and regulatory obligations.

4. Consent

By creating an account on this platform, you freely, knowingly, explicitly, and specifically consent to the collection, use, and retention of your personal information for the purposes described in this policy. This consent is collected in accordance with the requirements of Law 25. You may withdraw your consent at any time by contacting us; however, this may limit access to certain services.

5. Data Retention

Your personal information is retained for as long as necessary for the purposes for which it was collected, or as required by law. At the end of your involvement with the Centre, your data may be retained for historical and administrative purposes in accordance with the legal obligations applicable to non-profit organizations.

Important: You may request the deletion of your data from the online platform at any time (see section 8). This deletion concerns digital access to your data; however, certain information (particularly data related to your volunteer contributions) may be maintained in the Centre's physical or digital archives for historical purposes only, in accordance with applicable law. These archived data are not accessible online and are not used for commercial purposes.

6. Sharing of Information

The Centre does not sell, rent, or disclose your personal information to third parties, except in the following cases: (1) with your explicit consent; (2) when required by law; (3) with third-party service providers necessary for the operation of the platform (hosting, email), bound by strict confidentiality obligations.

7. Data Security

The Centre implements appropriate technical and organizational measures to protect your personal information against unauthorized access, disclosure, alteration, or destruction. Passwords are encrypted and never stored in plain text. The platform is hosted on a secure infrastructure with encrypted connection (HTTPS).

8. Your Rights

In accordance with Law 25, you have the following rights regarding your personal information:

  • Right of access: You may request to consult the personal information we hold about you.
  • Right of rectification: You may request the correction of inaccurate or incomplete information.
  • Right to portability: You may request that your information be provided to you in a structured and commonly used format.
  • Right to erasure (de-indexation): You may request the deletion of your data from our online platform.
Note on historical retention: Following a deletion request, your access to the platform will be removed and your personal data deleted from the active digital environment. However, certain information (particularly data related to your volunteer contributions) may be retained in our archives in accordance with the legal obligations applicable to organizations, for historical purposes only. These archived data are not accessible online and are not used for commercial purposes.

9. Compliance with Law 25

This policy is established in accordance with the Act to modernize legislative provisions as regards the protection of personal information (Law 25, S.Q. 2021, c. 25), in force in Quebec. In the event of a confidentiality incident likely to cause serious harm, the Centre undertakes to notify you and to report the incident to the Commission d'accès à l'information (CAI) within the timeframes prescribed by law.
